Job Description

Annual Fund and Grants Manager

April 7, 2025

Napa Wildlife Rescue is a licensed wildlife rehabilitation facility that accepts over 1200 orphaned, injured or ill wildlife patients each year. The mission is to provide medical rehabilitation leading to release back into the wild. Patients are about 70% birds and 30% small mammals. NWR also runs educational programs and provides technical services to vineyards on Barn Owl nest box installation and maintenance.

NWR is recruiting an Annual Fund and Grants Manager who will be responsible for coordinating activities related to grants and mid-level annual donor communications, appeals, and activities. We are actively building our fundraising capacity to continue improvements at our wildlife medical clinic and further our strategic development and program growth goals.

This position is full-time and will be an important part of our growing development team. This is a new position that is integral to transitioning development work from our board of directors (BOD) to professional development staff. This will require proven experience in an active development office and experience coordinating the activities required for successful annual fund donor stewardship and growth.

The successful candidate will enjoy building an organization’s programs and donor support. Currently, the BOD is actively involved in major gift fundraising and activities related to our mid-level donors. This position will work closely with the BOD to transition annual mid-level development duties to this position, without interrupting donor experiences and support. This will enable the BOD to focus on major gift activities and fiscal oversight.

The successful candidate will join a dedicated team of board members and staff committed to the engagement of our community in the preservation of wildlife in Napa County and the surrounding region. Work at the wildlife clinic is fast paced. We currently have 10 employees, some working seasonally in our busiest time of year between April and October. All program employees are directly involved in animal care alongside approximately 80 volunteers.

Job duties include:

  • Responsible for managing current and prospective annual and mid-level donors (donors giving up to $4,999), including cultivation, solicitation, and strategy as well as stewardship and data analysis. Coordinate an annual calendar of activities and appeals to sustain and grow the program.
  • Grant writing and understanding of the grant management process: financial tracking, progress reports, etc. Collaborate with the BOD and animal care staff to maintain renewal applications for annual grants.
  • Maintain grant management data for tracking applications and outcomes, grant budgets, funds needed, funds expended. Assist in identifying new grant opportunities.
  • Writing annual fund development communications including: annual report, mid-level donor appeals, and coordinate the process of design, overseeing printing and mailing appeals.
  • In conjunction with the BOD, develop and coordinate annual communications calendar: appeals, annual report, various solicitations – coordinate timing and recommend efficiencies.
  • Assist with planning and implementing a yearly donor event with a $150- $200,000 target for net income.
  • Assist the BOD with our successful Napa Give!Guide donor campaign: application, manage activities related to the campaign, including thank you emails to donors.
  • In coordination with the BOD and staff, conduct outreach to wineries to promote our Barn Owl Maintenance Program (BOMP). BOMP is a revenue generating program where proceeds are used as part of our annual budget to fund animal care costs. This will include calling existing and prospective program participants, site visits, and coordinate outreach with owl box supplies.
  • Development and management of community outreach program, including: community information fairs, farmer’s market outreach, and other events as appropriate. May interact with or lead volunteers who participate in these programs.
  • Assist with animal care facility tours for donors, community members, and local leaders.
  • Periodically, work evenings and some weekends, as activities require.

Required Qualifications:

Education: Bachelor’s degree

Required Experience:

  • 3-5 years’ experience in non-profit fundraising; experience coordinating development activities and communications.
  • Exceptional writing skills with proven ability to research and write targeted appeals and marketing materials for specific applications: appeals, marketing, social media.
  • Proven success in securing grants above $25,000, donor appeals and personal asks $500-$5000, and related donor communications. This includes experience managing a donor communications calendar.
  • Proven success and experience in cultivation of individuals, donor groups, businesses and/or foundations leading to an ask for support. Understand principles and engagement activities for building a donor pipeline and working with major gifts team for increasing donor engagement.
  • Strong organizational skills and attention to detail, including the ability to manage multiple projects and deadlines.
  • Enjoys collaboration, teamwork, and possesses the ability to complete projects independently.
  • Interact with the community in a friendly and approachable way yet with a professional demeanor. Ability to build and cultivate relationships with the public.
