About the Position
The Back Office Administrator will work approximately 20 hours per week and is responsible for managing key administrative functions such as invoicing, bookkeeping, client and vendor setup, marketing communications and administrative support to the President of the company. The ideal candidate is highly organized, proactive, and experienced in financial and administrative software.

Experience in the environmental brokerage or consulting industry is beneficial, although not required.

This is a contracted position estimated to work 20 hours per week. The Back Office Administrator is eligible for a hybrid work schedule and on-site work will be completed from our office in Huntington Beach. The schedule for this position is flexible and will be determined once a candidate has been selected.

Contracted Rate
The contracted rate for this position is $40 to $45 per hour.

Contracted Responsibilities Include:
Financial & Administrative Duties
  • Create, send, and follow up on invoices and payments using ZohoBooks.
  • Maintain financial records and reconcile accounts monthly in Quickbooks.
  • Assist with client and vendor setup and updating.
  • Handle general bookkeeping tasks.

Deal Settlement

  • Process and reconcile all commodity transactions, including physical and financial trades, ensuring that settlements are accurate and completed on time.
  • Verify trade details, contract terms and delivery instructions. Perform daily reconciliation of trades, payments and invoices to ensure correct settlement.
  • Coordinate with counterparties, brokers and clearing houses to resolve any discrepancies or issues related to trade settlements.
  • Oversee the processing of payments, including managing invoices, receipts and cash flows to ensure timely payments and collections.
  • Investigate and resolve any discrepancies, issues, or disputes in the settlement process by liaising with relevant parties to ensure timely resolution.

Marketing & Communications

  • Manage and distribute several weekly email campaigns for Market Updates via MailChimp.
  • Maintain accurate and up-to-date contact lists for clients and vendors.
  • Assist with basic marketing initiatives and communication efforts.

Personal Assistance & Office Support

  • Provide administrative support to the President, including scheduling, email correspondence, phone correspondence and travel arrangements.
  • Manage office supplies, filing systems and general organization.
  • Other responsibilities as assigned.

Qualifications

  • Intermediate experience with ZohoBooks, QuickBooks and MailChimp (or similar software).
  • Prior experience in bookkeeping, invoicing and administrative support.
  • Strong attention to detail and ability to manage multiple tasks efficiently.
  • Excellent communication and organizational skills.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • High level of integrity and the ability to keep information confidential.
  • Experience in the environmental brokerage or consulting industry is a plus.
  • Prior experience assisting executives or business owners.
  • Familiarity with CRM systems and basic marketing tools.
